Three services, one clear focus
Every Quietharbor service is built around the same principle: calm, practical document organisation with no pressure and no advice beyond our scope. Choose the one that fits your situation.
← Back to HomeHow a Quietharbor session works
Every service follows the same underlying approach, adapted to the specific situation — individual, family, or organisation.
Initial conversation
We speak with you before the session to understand your situation, what documents you have, and what you are hoping to achieve.
Session preparation
We prepare appropriate materials, labelling, and category structures in advance so the session itself can focus on the documents, not the setup.
Structured session
We work through the paperwork methodically, at whatever pace suits the client, using clear language throughout and checking understanding as we go.
Written follow-up
After every session, the client receives written materials — a summary, checklist, or process report — as part of the standard fee.
Quiet Sorting Session
A relaxed one-to-one session where we work through accumulated pension-related paperwork together, placing everything into clearly labelled categories. The session moves at whatever pace feels comfortable, and includes a simple take-home storage system so the organisation continues after we part.
This service is suited to anyone who finds a pile of documents stressful and wants patient, methodical help bringing order to it — without being told what those documents mean for their entitlements or decisions.

- Labelled storage system to take home

Family Coordination Workshop
A supportive workshop for families managing an older relative's pension records together. Siblings and adult children often hold different pieces of the same picture — different folders, different memories of what was signed, different assumptions about what is current. This workshop creates a shared understanding and a shared system.
The session is structured for two to four family members or carers. It is purely organisational and educational: we do not offer opinions on what documents mean for any particular entitlement or next step.
What is included
- Pre-workshop call with the organising family member
- Half-day structured workshop (up to 4 attendees)
- Coordination checklist for shared reference by all attendees
- Tidy filing plan agreed and documented during session
- Written workshop summary sent to all participants
Process steps
- Lead family member contacts Quietharbor to enquire
- Pre-workshop call to map out the documents and attendees
- Workshop date confirmed; coordination materials prepared
- Half-day session working through documents and building shared plan
- Filing plan and coordination checklist finalised with family input
- Written summary with shared reference list emailed within two business days

Records Workflow Advisory
Community groups and small employers often handle pension-related documents in ways that have evolved informally over time — nobody planned it, it just happened. This advisory takes a practical look at current internal processes and suggests concrete improvements to make document handling more dependable.
The service includes a current-state review meeting and a written set of process suggestions delivered afterwards. It is focused entirely on workflow and administration — not on regulatory compliance or financial advice.
What is included
- Initial scoping call with the relevant contact at the organisation
- On-site or remote current-state review meeting (approx. 2 hours)
- Written process suggestions document delivered within 5 business days
- One follow-up call to discuss the recommendations
- Not regulatory advisory — focused purely on workflow administration
Process steps
- Organisation submits enquiry by phone or email
- Scoping call to understand current document handling practices
- Review meeting scheduled (on-site or remote)
- Advisory team reviews current-state findings internally
- Written process suggestions document prepared and delivered
- Follow-up call to discuss recommendations and answer questions
